RollPilot Terms of Use

These Terms of Use govern access to and use of RollPilot, an attendance management application operated by Portico Consulting Group. By using RollPilot, you agree to these Terms.
1. The Service
RollPilot helps faculty, instructors, and educational institutions manage course rosters, class meetings, student check-ins, attendance records, and related reports.
RollPilot may include features such as QR code check-ins, NFC tag check-ins, email verification links, manual attendance entry, attendance exports, and support or feedback tools.
2. Eligibility and Authorized Use
You may use RollPilot only if you are authorized to do so by Portico Consulting Group, your educational institution, or the faculty member or administrator responsible for your course.
You agree to use RollPilot only for lawful, authorized educational and administrative purposes.
3. Accounts
Faculty and administrative users are responsible for maintaining the confidentiality of their login credentials. You are responsible for activity that occurs under your account.
You agree to provide accurate account information and to notify us promptly if you believe your account has been compromised.
4. Course, Roster, and Attendance Data
Faculty and institutional users are responsible for the accuracy and appropriateness of the course, roster, student, and attendance information they enter, upload, edit, or export through RollPilot.
You agree that you will not upload or enter information unless you have the authority to do so.
You agree not to use optional custom fields to store sensitive personal information unless doing so is necessary, authorized, and appropriate under your institution’s policies and applicable law.
5. Student Check-In
RollPilot may allow students to check in using QR codes, NFC tags, email verification links, or other methods. Check-in features are intended to support attendance workflows but may not prevent all mistakes, misuse, or unauthorized check-ins.
Faculty and institutional users remain responsible for reviewing, correcting, finalizing, and interpreting attendance records.
6. Acceptable Use
You agree not to:
- Use RollPilot for unlawful, harmful, fraudulent, or unauthorized purposes.
- Attempt to access another user’s account, course, roster, class meeting, or attendance records without authorization.
- Interfere with or disrupt RollPilot’s operation, security, or infrastructure.
- Upload malicious code, attempt to bypass security controls, or probe the system without permission.
- Misrepresent attendance, identity, check-in status, or authorization.
- Use RollPilot to store sensitive information that is not needed for attendance management.
7. Email and Notifications
RollPilot may send transactional emails, including password reset links, student check-in links, support messages, and account-related notices. You agree that these messages are part of the service.
8. Feedback
If you submit feedback, suggestions, ideas, bug reports, or feature requests, you grant Portico Consulting Group permission to use that feedback to improve RollPilot without obligation to compensate you.
9. Intellectual Property
RollPilot, including its software, design, branding, workflows, text, and related materials, is owned by Portico Consulting Group or its licensors.
These Terms do not grant you ownership of RollPilot or any RollPilot intellectual property. You may not copy, modify, reverse engineer, resell, or redistribute RollPilot except as expressly authorized in writing.
10. Availability and Changes
RollPilot is under active development. Features may change, be added, or be removed over time.
We aim to provide reliable service but do not guarantee uninterrupted or error-free operation. We may suspend or limit access for maintenance, security, misuse, or operational reasons.
11. Third-Party Services
RollPilot may rely on third-party providers for hosting, email delivery, databases, infrastructure, security, and related services. Use of RollPilot may involve the processing of information by those providers as described in the Privacy Policy.
12. No Professional or Legal Advice
RollPilot provides attendance management tools. It does not provide legal, compliance, academic, disciplinary, or institutional policy advice. Faculty and institutions are responsible for applying their own policies and legal obligations.
13. Disclaimers
RollPilot is provided on an “as is” and “as available” basis to the fullest extent permitted by law. We disclaim warranties of merchantability, fitness for a particular purpose, non-infringement, and uninterrupted or error-free operation.
14. Limitation of Liability
To the fullest extent permitted by law, Portico Consulting Group will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, lost data, loss of goodwill, or business interruption.
To the fullest extent permitted by law, our total liability for claims related to RollPilot will not exceed the amount paid to Portico Consulting Group for use of RollPilot during the three months before the claim arose, or one hundred dollars if no fees were paid.
15. Termination
We may suspend or terminate access to RollPilot if a user violates these Terms, misuses the service, creates security risk, or if continued access is no longer authorized.
Users may stop using RollPilot at any time. Certain information may be retained as described in the Privacy Policy.
16. Governing Law
These Terms are governed by the laws of the Commonwealth of Massachusetts, without regard to conflict-of-law principles, unless a written agreement with an institution provides otherwise.
17. Changes to These Terms
We may update these Terms from time to time. When we make changes, we will update the effective date above. Continued use of RollPilot after changes are posted means the updated Terms apply.
